ARCE is pleased to announce that the Call for Papers will soon be open for our 2026 in person Annual Meeting.

The 2026 In-person Annual Meeting will take place at The Westin Westminster from approximately 08:30 AM US ET to 5:00 PM US ET Friday and Saturday, and 08:30 AM US ET to 3:00pm US ET on Sunday.

Call for papers: 12th of September 2025 until 12th of December, 2025.

The ARCE Virtual Annual Meeting will NOT take place this year.

If your paper is accepted for the in-person program, it may be scheduled at any time during these dates. Changes to the schedule are possible depending on the final number of accepted submissions.

General Guidelines

ARCE members who wish to present at the 2026 Annual Meeting should submit abstracts to the review committee on the All-Academic platform no later than December 12, 2025.

Abstracts should provide a brief overview of the topic, clearly state the research goals and note the impact of the work in the relevant area of study. (Results should be relayed during the presentation itself, as appropriate, not necessarily in the abstract.) In order to preserve the blind review component, text of abstracts should not include personally identifiable information. A double-blind vetting process will be employed. Neither reviewers nor submitters will be informed of one another’s identities.

The review committee is comprised of scholars in both ancient and modern Egyptian studies who will review submissions in various categories.

  • Submission Guidelines ↓

    • All submitters must be members of ARCE in good standing. Membership status can be confirmed by contacting ARCE at membership@arce.org.
    • Abstracts must not exceed 250 words.
    • Submitters will be notified via email regarding the acceptance, waitlist, or rejection of their abstract by early February 2026.
    • All presenters must provide their own funding to attend the Annual Meeting. Please check ARCE’s website for information on funding opportunities for students.
    • All presenters must register for the Annual Meeting by February 13, 2026. Failure to register by February 13 will result in removal of their paper/poster from the program.
    • Egyptian speakers whose abstracts get accepted should contact Mrs. Mary Sadek
    (msadek@arce.org) as soon as they get the acceptance notifications and not later
    than February 13th, so she can help in providing a supporting letter to the US
    Embassy.
    • Presenters and co-presenters must be defined during initial submission in All Academic and may not be added after the abstract due date.
    • No individual may submit more than one abstract nor appear as part of the academic program more than once. For example, if co-authoring a paper, you may not submit a separate, individual paper or poster, or be included in a panel. If you are submitting an abstract as part of a panel, you may not submit an additional,
    individual paper or poster. Note, the position of session chair does not count towards ARCE’s rule that scholars participate in the academic program only once.
    • As of December 12th, 2025, neither abstracts nor titles will be adjustable. However, submitters will retain access to edit contact information via the All-Academic website.
    • Please ensure that you complete the entire submission process in the All-Academic
    system.Some submitters miss the final step, which requires clicking the “Submit This Proposal” button. Make sure you receive the automatic confirmation email from the system immediately after submission. This email serves as proof that your abstract was successfully submitted.

  • Presentation Guidelines ↓

    • Submission of an abstract is a commitment by the submitter(s) to present the paper or poster in person.
    • Papers may not be presented by anyone other than the named author(s).
    • Presentations will run about 20 minutes, with an additional five minutes for questions.

    • Posters accepted as part of the in-person program must remain on display from Friday, April 10, at 8:00 a.m. until Sunday, April 12, at 1:00 p.m. Poster size should be a maximum of 36 x 48 inches in dimensions.
    • Requests for presenting on a specific day will only be accommodated for outstanding reasons and should be included in your submission.

  • Best Student Paper/Poster Competition ↓

    • Students wishing to be considered for Best Student Paper/ Poster competition should submit their proposal through the All Academic platform, as well as send any additional documents by (January 9, 2026) by sending directly to BSP@arce.org. Students wishing to be considered for the competition should carefully review the updated guidelines and templates located here
    • An advisor sign-off letter is required only for undergraduate students interested in
    submitting a proposal for the general paper or poster presentations or competitions.
    • All submissions must be in English.
    • All student paper and poster presentations will be vetted along with all other member submissions. Only after peer review is completed will accepted student presentations be considered for inclusion in the paper and poster contests.

The Meeting Schedule will come out after abstract acceptances in 2026. 

Cancellation Policy

We understand that plans can change. If you need to cancel, we offer a full refund, minus a $75 administrative fee, until mid-March 2026. Please note that cancellations must be made in accordance with our policy to receive the refund. Please send an email to Ms. India Peters (ipeters@arce.org) with your reason for cancellation. You can also reach us via AMhelp@arce.org. All refunds will be processed after the meeting
