ARCE COVID-19 Event Safety  

As the COVID-19 Global Pandemic continues, ARCE is both cautiously optimistic and prepared to manage our in-person events with the health, safety, and well-being of our attendees, staff, presenters, exhibitors, sponsors, and speakers in mind. All participants, including, but not limited to, attendees, speakers, sponsors, volunteers, ARCE staff, service providers, and others are expected to abide by our code of conduct, and all polices in effect for any event sponsored by ARCE. 

We will continue to monitor and update safety precautions for all our conferences regularly and coordinate with trusted national resources, state and local public health agencies, and the hotels/venues hosting our events. 

We reserve the right to modify these policies and procedures at any time given the rapidly changing nature of the current global pandemic.  

Vaccination Requirement 

In keeping with ARCE’s duty to care and responsibility as host, all participants at ARCE events whether a presenter, attendee, exhibitor, staff, guest, or vendor will be required to be fully vaccinated

We strongly encourage all attendees who are eligible, to receive the COVID-19 Booster in addition to being fully vaccinated. ARCE is following the CDC definition of fully vaccinated for vaccination requirements, but we encourage individuals who are eligible to receive the booster prior to attending any ARCE event.

Attendees will be required to attest to their vaccination during the registration process and provide CDC-or WHO-approved proof of vaccination status prior to traveling to the meeting, using the CLEAR Healthpass app. We will not be checking vaccination cards on site. For those individuals who are not vaccinated, you are encouraged to attend the virtual meeting May 6-8 (which includes replays of all presentations for which their presenters gave us permission to record them).  

Once you have downloaded the CLEAR app, you will need to link your Covid vaccination card to our event, the 2022 ARCE Annual Meeting.  To do that: 

1) open your CLEAR app  

2) on the home screen go to the top section of the screen under Healthpass, and click on Get Started  

3) Select All in the top menu, and click on Have a Code?  

4) enter our code for the 2022 ARCE Annual Meeting, which is EFATTENDEE38  

5) Click Continue and follow the prompts  

6) the last step is a health survey–complete the survey to get a green screen, but after this you are finished with the app. You can ignore the mention of an expiration date.

ARCE strongly encourages individuals to be tested for COVID-19 prior to traveling to any ARCE event. Individuals who test positive should stay home and cancel registration by emailing AM2022Help@arce.org. Cancellations can be accepted with a refund before April 9, minus a $75 administrative fee.  No cancellations for the virtual meeting May 6-8 are permitted.  

Mask Requirement 

All participants at ARCE events will be required to wear masks during the event. Masks must be worn at all times, except while actively eating/drinking, and in any venue that is considered an ARCE event space (both on-site and off-site venues). Paper presenters may present without masks on while standing on the podium.  Masks must cover both the mouth and nose. We ask that participants honor the requests of others to mask up and maintain physical distancing. 

Physical Distancing 

While many venues do not currently require physical distancing, ARCE will provide physically distant seating and event space set-up to allow individuals who wish to physically distance to do so comfortably. 

COVID-19 Notice and Waiver 

ARCE will require registrants to understand the place-based, in-person conferences that are taking place during the COVID-19 global pandemic. The waiver language is listed below: 

COVID-19 has been declared a global pandemic by the World Health Organization and is extremely contagious. ARCE has gone above and beyond current Covid protocol requirements and has put in place preventative measures to reduce the spread of COVID-19 at our various events; however, ARCE cannot guarantee that attendees will not become infected with COVID-19. By registering for the ARCE In-Person Annual Meeting 2022:

I, knowledge the contagious nature of COVID-19; voluntarily assume the risk that I may be exposed to or infected by COVID-19 by attending the ARCE event, which exposure or infection may come from the actions, omissions, or negligence of myself and others, including, but not limited to, ARCE employees, volunteers, and program participants and their families; acknowledge that such exposure or infection may result in personal injury, illness, permanent disability, and death; and hereby release, covenant not to sue, discharge, and hold harmless ARCE, its employees, agents, and representatives, of and from any injury to me resulting from being exposed to or infected by COVID-19 in connection with my attendance at an ARCE event (including claims based on the actions, omissions, or negligence of ARCE, its employees, agents, and representatives). 


While we are excited to be hosting our first annual meeting in person since the COVID pandemic began, we take our obligation to make in-person attendance as safe as possible. Please note that we are only able to welcome fully vaccinated (meaning at least two weeks have passed since your last vaccination date- Following CDC guidelines for “Fully Vaccinated”) Individuals to attend or present in person. When you register to attend in person, you will receive a link from our vaccination authentication provider CLEAR/Event Farm, who will require that you upload your COVID vaccination card via their secure link. They will verify its authenticity and let the ARCE staff know when you are cleared and ready to attend in person. If you are not fully vaccinated, we will be delighted to have you register for the Virtual Annual Meeting May 6-8, and hope that we can all be together again in 2023 in Minneapolis.

If you have not already created a CLEAR Health pass, we encourage you to download the CLEAR Health Pass app (with the white background/blue dots) and create your CLEAR account and upload your vaccination card information. We will then email you an event code about a week before the Annual Meeting, that you will use to link your vaccination card to our Annual Meeting.

Promoting and adhering to COVID protocols does come with a cost, and this cost along with two years of inflation and higher costs across the board due to continuing supply chain challenges have meant that this year’s Annual Meeting costs-both in person and virtual attendance- are a bit higher than they were in January 2019. However, we have worked very hard to keep your registration costs the same as 2019, and we want to make it as convenient and safe as possible to be together in person. We can’t wait to see you!
